Last Updated: 10/1/26

Welcome to Mspaulathenotary (the "Site"). We respect your privacy and are committed to protecting the personal information you share with us. This Privacy Policy explains how Mspaulathenotary ("we," "us," or "our") collects, uses, and discloses your information when you visit our website, schedule appointments, or utilize our mobile or remote online notarization (RON) services.

1. Information We Collect

We collect information that identifies or relates to you ("Personal Information") when you voluntarily provide it or interact with our Site.  In addition to standard contact data, providing Remote Online Notarization requires the collection of specialized and sensitive categories of personal data:

  • Contact Data: Name, email address, phone number, and physical mailing address submitted via contact forms or booking requests.
  • Transaction & Notary Data: Details required to perform notarizations (e.g., names on documents, dates, types of notarization, and billing details). Note: Official Notary Journal entries are governed by state law and kept separately from website data.
  • Automatically Collected Data: IP address, browser type, device information, and cookies gathered through analytics tools.
  • Contact & Identity Data: Name, email address, phone number, physical address, and a copy of your government-issued identification card (e.g., driver's license or passport).
  • Biometric & Verification Data: Live facial images and biometric data captured during the credential analysis process to verify your identity against your government ID.
  • Audio-Video Recordings: Full audio-video recordings of the entire online notarization session, as mandated by state law.
  • Knowledge-Based Authentication (KBA) Data: Responses to security questions used to verify your identity before the notary session begins. We do not store your raw KBA answers; these are processed securely by our verification providers.
  • Transaction & Document Data: Electronic documents uploaded for notarization, electronic signatures, and IP addresses mapping the execution location.

2. How We Use Your Information

We use the collected information for specific business purposes:

  • To respond to inquiries, schedule appointments, and provide mobile or remote notary services.
  • To process payments and manage client accounts.
  • To maintain website security, prevent fraud, and comply with state and federal legal obligations.
  • To improve our website functionality via analytics.
  • To verify your identity using credential analysis and KBA protocols.
  • To conduct and record live RON sessions to meet state legislative requirements.
  • To maintain the mandatory secure electronic Notary Journal.
  • To process payments and securely manage your booking account.

3. Data Retention and Storage

Data retention for RON is strictly governed by state statutes:

  • Audio-Video Recordings and Journal Entries: Retained securely for the period required by law ( 7  years in Illinois ) in an encrypted electronic journal or repository.
  • Uploaded Documents: Unsigned or temporary documents uploaded to the platform are purged promptly following the completion or cancellation of the transaction, unless retention is legally requested.

4. Sharing of Information

We do not sell, rent, or trade your personal information. We may share your data only under these limited circumstances:

  • Service Providers: Trusted third-party vendors who assist us in operating our website, processing payments, or scheduling (bound by confidentiality obligations).
  • Legal Compliance: When required by law, subpoena, court order, or official state regulatory authority governing notaries public.
  • RON Platform Providers: Shared with certified, state-approved third-party RON technology platforms used to host the audio-video session and perform identity verification.

5. Your Rights and Choices

Depending on your jurisdiction, you may have rights regarding the access, correction, or deletion of your personal data. Please note that data deletion requests cannot override mandatory state legal retention periods for notary journals and video records.
